Director of Finance (Volunteer)

 

Term length: 2 year term

What you’ll do:

  • Prepares annual chapter budget in cooperation with president and board.
  • Main account holder for IABC MB bank account, and Paypayl Account, IABC MB Finance Folder in the Google Drive, IABC MB finance hard copy folders, and secondary account holder for Eventbrite
  • Main contact for all IABC Accounts Payable, and Accounts Receivables
  • Keeps financial records and bank accounts for the chapter.
  • Prepares profit loss statements for each event within two weeks from the event date, and send the profit loss statement to the Event Manager, and CC the president and the vice president
  • Responsible for all Accounts Payable and Receivable activities (Frequency – once a month)
  • Scan and save all Profit Loss Statements, Expense and Income Invoices, Receipts in the Finance Folder for IABC MB – In case we are audited, we need these records
  • Attend as many events, and obtain the accurate attendance record from the Event Manager. If you cannot attend a certain event, ensure the Event Manager send you accurate details
  • Ensure all the ticket revenue is received at the event 
  • Monitor Eventbrite Payments, and advise the Event Manager if more promotion is needed to increase the ticket sales
  • Prepares mid-year report and tax forms for IABC Headquarters. (Typically the deadline is early to mid February, and the report should cover July 1 – December 31 finance records)
  • Create a small presentation at the Strategic Planning Session to make the board aware of the upcoming budget. 
  • Educate the board on our budget at the board meetings (currently, IABC MB runs on a very tight budget, and you will play a major role in helping IABC MB to develop a better budget so we can provide more opportunities for our board and our members)
  • Trains successor.

Director of Administration (VOLUNTEER)

 

Term length: 2 year term

What you’ll do:

  • Organizes monthly board meetings (e.g. date, location, etc.)
  • Seeks agenda items from board and then issues the agenda for monthly board meetings.
  • Collects board reports from portfolio directors and adds them to the meeting agenda and emails all board members two days before the meeting.
  • Attends meetings, take and issue minutes for monthly board meetings, and distribute to board members within one week of meeting (get President or Vice President’s approval first)
  • Checks the IABC Manitoba email account and forwards emails to appropriate contact or responds in a timely manner.
  • Takes RSVPs for events/meetings and informs the Director of Professional Development.
  • Maintains all chapter papers, records and archives.
  • Assists President with end-of-year chapter report.
  • Assists executive team, Director of Finance, and other directors as needed with record keeping and correspondence.
  • Trains successor.

Director of Membership & Networking (Volunteer)

 

 

Term length: 2 year term

What you’ll do:

  • Develops membership strategy to recruiting and retaining members, in collaboration with the board.
  • Welcomes new members regularly through phone call and/or email.
  • Corresponds with members regarding lapsing/expiring membership and renewing membership. Seeks President’s assistance as needed.
  • Coordinates one to two membership event(s) throughout the programming year.
  • Develops and promotes new and existing member benefits.
  • Prepares and coordinates yearly member survey.
  • Liaises with IABC International to coordinate membership materials and ensure materials are available at every event.
  • Attends monthly board meetings and submits monthly board reports.
  • Communicates with director of leadership development to coordinate portfolio volunteers as needed.
  • Manages any volunteers working under the portfolio.
  • Works closely with student liaison(s) to ensure consistent contact with student members.
  • Prepares membership report at the end of the term.
  • Trains successor.
